Position: Operations & Community Lead - Tank Stream Labs
Location: Sydney, NSW, Tank Stream Suites (Primary Location)

Overview:
The Operations & Community Lead plays a pivotal role within the Tank Stream Labs/Suites (TSL/TSS) Operations Team. This position is designed to support the COO by overseeing day-to-day operational efficiency across TSL/TSS’s portfolio while also acting as the on-site representative for one TSS location.
This is a hands-on, member-facing role that blends community engagement, site operations, and team coordination. You will act as the 2IC to the COO, providing leadership support to the operations/community team and ensuring consistency, quality, and execution across all sites.
Key Duties & Responsibilities
Community & Member Support

Act as the primary front-of-house representative at your assigned location, greeting members and guests and delivering a warm, professional experience.

Build strong relationships with members, proactively identifying their needs and ensuring a tailored and thoughtful experience.

Take ownership of member accounts within your location, managing inquiries, ensuring expectations are met, and escalating issues where appropriate.

Support member retention through proactive engagement, identifying opportunities to strengthen member satisfaction.

Respond to and resolve member grievances efficiently and professionally.

Support the wider operations/community team when needed, particularly during member onboarding, move-ins, and transitions.
Site Operations & Administration:

Oversee the daily operation of your assigned Suites location, ensuring a premium standard is maintained across all areas.

Ensure meeting rooms, kitchens, coworking areas, and common spaces are clean, functional, and member-ready.

Manage stock controls, supplies, and consumables, coordinating replenishment where required.

Sort and distribute incoming mail and packages, ensuring timely member notifications.

Complete new-member onboarding, including platform setup, induction procedures, access card setup, and walkthroughs.

Coordinate team moves, new member arrivals, suite readiness, and departures in collaboration with the COO and community team.

Act as a TSL representative during emergencies - serving as floor warden and first aid point of contact (training provided).

Liaise with building management, contractors, and vendors to ensure maintenance issues or service requirements are resolved promptly.

Monitor and maintain the aesthetic, functionality, and cleanliness of all spaces, escalating larger issues where necessary.
Operational Support & Team Coordination:

Act as the 2IC to the COO by assisting with operational oversight across all TSS locations.

Provide support, guidance, and direction to community team members to ensure operational consistency.

Assist the COO in implementing new processes, improving operational workflows, and maintaining a high standard of service delivery across the portfolio.

Help coordinate cross-site initiatives, including stock planning, procurement, maintenance scheduling, and process improvements.

Contribute to training and onboarding of new Community Managers/CSRs.
Systems, Processes & Compliance:

Support the COO in maintaining compliance across building access, OH&S, fire safety procedures, and emergency protocols.

Assist with digital system updates, member data accuracy, and platform upkeep (OfficeRnD, HubSpot, etc.).

Ensure onboarding and offboarding processes are executed correctly across all Suites sites.

Maintain strong working knowledge of membership agreements, policies, and operational guidelines.
Skills & Experience:
-
Previous experience in community management, customer service, office coordination, or operations roles (flexible workspace experience highly regarded).

Strong communication and interpersonal skills with the ability to build trust and rapport.

Excellent organisational skills and attention to detail, especially in maintaining operational standards.

Ability to problem-solve, take initiative, and work autonomously.

Comfortable managing front-of-house responsibilities and operational tasks simultaneously.

Professional, polished, and confident when dealing with members, guests, and building stakeholders.

Ability to work in a fast-paced environment and manage competing priorities.
